ResumeRavenPro provides an AI-assisted job-search workspace for candidate profile enrichment, resume tailoring, job-fit assessment, contact and network intelligence, document workflows, agent assistance, and related account, billing, support, and communications services. This Privacy Policy explains how ResumeRavenPro collects, uses, discloses, protects, and retains information when you use our websites, applications, workflows, integrations, and support channels.

ResumeRavenPro handles contact information, professional-history data, uploaded documents, inferred job-search signals, and other information that can identify or relate to a person. We treat that information as sensitive customer workspace data and use it only to provide, secure, support, measure, and improve the service as described below.

1. Information We Collect

  • Account and identity information: name, email address, login identifiers, profile picture, authentication metadata, account status, preferences, trial state, subscription state, and administrative account metadata.
  • Candidate and career information: resumes, cover letters, professional summaries, profile URLs, pasted career history, job titles, employers, locations, skills, work history, education history, target roles, industries, keywords, employment preferences, and career goals.
  • Documents and files: uploaded files, generated resumes, comparison artifacts, proof-of-fit briefs, proposals, extracted text, previews, processing status, document tags, folder metadata, file size, content type, and document-derived features.
  • Job-search and assessment information: job descriptions, job URLs, companies, job titles, fit scores, strengths, gaps, strategy outputs, cover-letter material, assessment signals, tracked listings, listener settings, alerts, and workflow history.
  • Contacts and network intelligence: manually entered contacts, imported contacts, LinkedIn archive-derived records you choose to upload, names, emails, phone numbers, employers, job titles, locations, URLs, social handles, relationship notes, message-count or recency signals, custom fields, enrichment results, public professional context, and contact dossiers.
  • Agent and communications data: Raven agent threads, prompts, responses, run metadata, workflow settings, support messages, inbound email sent to a ResumeRavenPro agent address, attachments you send for processing, and notification preferences.
  • Integration information: OAuth account identifiers, account email, granted scopes, connection status, encrypted access or refresh tokens, and limited Gmail or Calendar data when you intentionally connect Google Workspace features.
  • Billing and transaction information: Stripe customer identifiers, subscription identifiers, checkout session identifiers, invoice identifiers, plan type, credit ledger records, payment status, billing lifecycle events, and related metadata. Payment card details are handled by Stripe and are not stored by ResumeRavenPro.
  • Technical, security, and usage information: device and browser information, IP address, cookies or similar identifiers, page and feature usage, event logs, error logs, audit logs, fraud-prevention signals, and diagnostics.

2. Sensitive Information and User-Controlled Content

ResumeRavenPro is designed for job-search and professional-networking use. Uploaded resumes, career records, personal notes, contact networks, imported archives, agent conversations, and generated artifacts may contain personal information, sensitive personal information, confidential career information, or information about third-party contacts. You are responsible for choosing what you submit and for having any permission required to provide third-party contact information.

Please do not submit Social Security numbers, government identification numbers, financial account numbers, medical records, health insurance records, precise location histories, information about minors, or other special-category data unless it is necessary for your job-search workflow and you are comfortable with ResumeRavenPro processing it under this Policy.

3. How We Use Information

  • Provide, operate, personalize, and maintain ResumeRavenPro workflows.
  • Create, enrich, validate, and update candidate profiles, resumes, documents, compare results, contact records, and network intelligence.
  • Run AI-assisted analysis, semantic retrieval, embeddings, job-fit assessment, document processing, contact enrichment, and agent workflows you request.
  • Persist workflow history, generated artifacts, semantic indexes, and dashboard state so your workspace remains continuous over time.
  • Authenticate users, administer accounts, enforce plan limits, process trials, manage credits, and support subscriptions or billing.
  • Send transactional, account, security, support, billing, and product communications, and send marketing communications where permitted by law and your preferences.
  • Detect, investigate, and prevent abuse, fraud, security incidents, unauthorized access, and service misuse.
  • Debug, analyze, measure, and improve reliability, safety, performance, and product quality.
  • Comply with legal obligations, enforce our Terms of Service, resolve disputes, and protect the rights, privacy, safety, and property of ResumeRavenPro, users, and others.

4. AI, Enrichment, and Semantic Retrieval

ResumeRavenPro uses AI models, embeddings, vector search, public web research, and enrichment services to deliver requested product features. For example, we may process resumes, profile text, job descriptions, uploaded files, contacts, notes, and prior workflow outputs to generate candidate profiles, tailored resumes, fit assessments, contact dossiers, outreach context, semantic search indexes, and Raven agent responses.

We may send relevant portions of your submitted content and workspace context to service providers that help us provide these features. We instruct providers to process this data only for ResumeRavenPro service purposes and not for their independent advertising purposes. AI outputs may be incomplete, inaccurate, or based on stale public information, so you should review important outputs before relying on them.

5. Google Workspace and Google API Data

If you connect Google Workspace, ResumeRavenPro requests only the Google scopes needed for the features you enable, such as identity, email address, profile, Gmail compose, Gmail read-only, Calendar read-only, or owned-calendar-event access. You can decline, disconnect, or revoke Google access through ResumeRavenPro settings or your Google account controls.

ResumeRavenPro uses Google user data only to provide or improve user-facing features you request, such as drafting messages, reading relevant message context when enabled, reading calendar context when enabled, or drafting owned calendar events when enabled. ResumeRavenPro does not sell Google user data, use Google user data for advertising, or use Google Workspace data to train general-purpose AI models. ResumeRavenPro's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. How We Disclose Information

  • Service providers and processors: cloud hosting, database, authentication, storage, email, logging, analytics, payment, AI, enrichment, embeddings, vector search, and support providers that process data for ResumeRavenPro.
  • Integrated services you enable: Google, Stripe, email services, or other integrations where disclosure is necessary to complete an action you request.
  • Administrators and support personnel: authorized ResumeRavenPro personnel may access limited user data when needed for support, billing, security, abuse investigation, legal compliance, or service operation.
  • Legal, safety, and compliance: regulators, law enforcement, courts, or other parties when we believe disclosure is required by law or necessary to protect rights, safety, security, or the integrity of the service.
  • Business transfers: information may be disclosed or transferred in connection with a merger, financing, acquisition, reorganization, sale of assets, or similar transaction, subject to appropriate confidentiality protections.

ResumeRavenPro does not sell your personal information. We also do not share personal information for cross-context behavioral advertising as that phrase is commonly used in U.S. state privacy laws, unless we first provide any required notice and choice.

7. Security

ResumeRavenPro uses administrative, technical, and organizational safeguards designed to protect personal information, including authenticated access, owner-scoped authorization, encrypted Google Workspace token storage, cloud access controls, secrets management, logging, and restricted administrative access. Uploaded files and application data are hosted using cloud infrastructure such as AWS services, and selected semantic records may be stored in user-scoped vector namespaces.

No online service can guarantee absolute security. You should use a strong password, protect your account credentials, keep your connected accounts secure, and notify us promptly if you believe your account or data may have been compromised.

8. Retention and Deletion

We retain personal information for as long as needed to provide ResumeRavenPro, maintain your account, preserve workflow continuity, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and operate backups and audit logs. Retention periods vary by data type, account status, legal requirements, and operational needs.

You may delete certain files, contacts, agent conversations, or workspace records inside the product where deletion controls are available. You may also contact us to request account deletion or assistance deleting data. Some information may remain in backups, security logs, billing records, legal records, or de-identified or aggregated records where permitted by law.

9. Your Privacy Choices and Rights

  • Access, correct, or update available profile and workspace information through the product.
  • Delete documents, contacts, agent threads, or other records where in-product controls are available.
  • Disconnect Google Workspace or other integrations and revoke access from the provider account.
  • Opt out of marketing emails by using unsubscribe links or preference controls. Transactional and security messages may still be sent.
  • Request access, correction, deletion, portability, restriction, or objection where those rights apply under applicable privacy laws.
  • Appeal or follow up on a privacy request by contacting us again at the address below.

If you are a California resident or are covered by another state privacy law, you may have rights to know, access, correct, delete, and obtain a copy of personal information, and to opt out of sale, sharing, targeted advertising, or certain profiling where applicable. ResumeRavenPro will not discriminate against you for exercising applicable privacy rights.

10. Cookies, Analytics, and Communications

ResumeRavenPro may use cookies, local storage, and similar technologies for authentication, session continuity, preferences, security, analytics, and product measurement. We may also use event data to understand feature adoption, reliability, and user journeys. You can control cookies through your browser settings, but disabling required cookies may affect sign-in or product functionality.

11. Children

ResumeRavenPro is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to ResumeRavenPro, contact us so we can take appropriate action.

12. International Use

ResumeRavenPro is operated from the United States. If you access the service from another country, your information may be processed in the United States and other jurisdictions where our service providers operate. Those jurisdictions may have data protection laws different from those in your location.

13. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the date above and provide additional notice when required by law or when the change materially affects how we handle your information.
